Guest to Member Conversion

Guest Kit

Guests visit your club with a lot of questions and usually no expectations of what Toastmasters is.

It is important we have a clear guest kit to offer them that achieves a few purposes. It introduces and welcomes them to the club, it invites them to join when they're ready, and shows them a little bit of what is offered in the education program. It is extremely important to not overload them with too much information, as it leads to overwhelm and them not returning.

Below are the five key documents that should make up your guest kit. Have a bunch printed and clipped together ready for every meeting.

Tracking and Emailing Guests

Example - Toastmasters Guest Tracker.xlsx

Guest Tracker

Use this to keep track of any enquiries, and know exactly what is going on with any prospective member. This ensures their onboarding is smooth, consistent and thorough. All club officers should be given access, and this will mostly be used by the VPM, VPPR, Treasurer and VPE.

Toastmasters Guest Conversion Process.docx

Guest Conversion Process

(Project: Email Follow-Up)

This outlines the process of converting a member, including scripts of the exact emails to send (and when), and who is responsible for each part of the process.

Go through this document slowly - it can be overwhelming at first, but sit with it and it will start to make sense.

Guest Conversion Maximiser

When guests come through the door of our club, how do we consistently convert them into members?

Some will push themselves and become members easily enough… But what about the ones who need a bit more encouragement?

How do we make them feel valued and give them the best possible chance of becoming a committed, active member?

This session will take you through the process of converting guests into members consistently and sustainably, without spending huge amounts of time.
